Summary
Under direct supervision of Assistant Athletics Director for Internal Affairs, manages accounting system for all Athletic Foundation accounts. Manages the accounting transactions pertaining to business travel. Is responsible for analyzing monthly reports, preparing appropriate reconciliations and distribution of financial information.
Essential Functions
- Coordinate, maintain, process all department human resources activities – assist in coordinating job searches; maintain personnel files; type and issue administrative contracts, addendums, non-renewals, hire forms, resignations; and serve as department liaison with Human Resources staff.
- Manage Athletic Foundation accounts which includes expense/transfer disbursements and record management for all 18 athletic sport enhancement accounts, special events, Stadium Club, Stadium Suites, Intercollegiate Advancement, Scholarships, etc. Analyze account transactions and make appropriate recommendations for expenses. Prepare and distribute monthly reports to staff in addition to providing account explanation, analysis and forecasting.
- Manage all business travel related expenses for entire coaching staff and administrators. This includes preparing disbursements per department and University policies and reconciling trip receipts. Assists with Compliance Officer to assure official recruiting visits are approved according to NCAA rules and financial policies.
- Manages BGSU purchase card expenses for entire staff, analyzing all expenses to assure proper account charts.
- Settle all advances and process through the main Accounts Payable Office as required.
- Responsible for depositing all funds into the appropriate Foundation accounts for the purpose of fund raising, banquets, rentals, etc. Complete income statements or profit/loss statements for special events.
- Develop and coordinate all invoicing of corporate sponsors, program/radio advertising, Stadium Club, Stadium Suites, and all other special event billing as necessary Reconciles monthly reports.
- Department liaison with Payroll Office to maintain, approve and sign-off on all student employee time cards.
- In conjunction with the Associate AD of Internal Affairs, oversee areas pertaining to athletic department business matters including creation and revision of financial policy and procedures. Reconciliation of department accounts, budget development, and analysis.
- Monitor department’s internal university charges through various Bursar Office accounts and process Foundation payments accordingly
- Oversee and monitor all office supplies and equipment purchases for the department, plus reporting needed machinery repairs when needed through Falcon Purchase.
Minimum Qualifications

Bachelor's Degree. Degree must be conferred at time of application

Knowledge, Skills, Abilities
- Knowledge of basic financial management, accounting skills, posting, record keeping, and business systems.
- Computer knowledge in word processing skills, spreadsheets and financial management systems.
- Good verbal and written communication skills with staff, university community and outside vendors.
- Working knowledge of NCAA rules/regulations pertaining to student-athlete recruitment.
