Renowned for our tailored solutions and exceptional client outcomes, we are expanding our dynamic team in Sydney CBD and seeking a proactive and detail-oriented Client Service Officer (Senior Member) to join us.
This role is ideal for a highly motivated professional with a strong background in financial planning administration, data integrity, and investment operations, who is ready to take ownership of complex workflows, support advisers, and mentor junior staff. You will be expected to apply sound judgement, navigate complex client and operational situations, and think critically in a fast-paced environment where priorities can shift quickly.
The Role
As a Senior Client Service Officer, you will play a critical role in ensuring operational excellence across the business. Working closely with Advisers, the Team Leader, and Compliance & Investment Managers, you will manage sophisticated client, compliance, and investment service activities. You will also act as a mentor to junior team members, ensuring training, quality assurance, and best practices are consistently maintained.
Your key responsibilities will include:
1. Client Service & Administration
Point of contact for client queries, ensuring professional handling of phone calls, emails, and in-person interactions.
Manage client meeting preparation, including agendas, file notes, follow-up tasks, and documentation delivery.
Oversee inbox monitoring, mail sorting (physical and electronic), payments, and document filing across Xplan and SharePoint.
Ensure a welcoming and seamless client experience when clients visit the office.
Assist with organising office and client events.
2. Data Integrity & Compliance
Maintain accuracy of cash transactions, share registry updates, and Xplan data integrity.
Conduct spot checks on unlisted investment unit prices and compliance items, escalating complex findings where necessary.
Prepare and review compliance checklists, consent forms, and ongoing financial year compliance requirements.
Support advisers and paraplanners with research, paraplanning requests, and pre-SOA preparation.
Complete final compliance checks and ensure documentation is audit-ready.
3. Investment & Reporting Oversight
Oversee weekly cash transfers, recurring payments, and managed account trackers.
Place investment transactions, process corporate actions, and complete application forms accurately.
Manage bulk payments and ensure all payments are processed before daily cut-off times.
Prepare, review, and benchmark client performance reports.
Draft and manage the Weekly Wrap, incorporating corporate actions, and term deposit rollovers.
4. Planning & Strategy Support
Assist advisers with superannuation, pension, and end of financial year tax planning strategies.
Prepare and work through detailed client cashflows and budget projections, including complex high net worth scenarios.
Prepare tax folders, summary tables, and ensure receipt of tax returns.
Provide regular updates and continued support to Team Leader.
5. Leadership, Training & Quality Assurance
Train and mentor new staff across mail, reporting, compliance, weekly wrap, and investment processes.
Conduct spot checks, review work, and provide structured feedback to ensure zero-error execution.
Track time spent on budgets, reports, and other key deliverables, providing quarterly productivity insights.
Provide back-up support to the Team Leader, stepping in to review or check team outputs where required.
About You
To be successful in this role, you will have:
At least 2-3 years' experience in financial planning, wealth management, or asset management operations.
Solid understanding of investment products, direct shares, managed funds, superannuation, pensions, trusts and self-managed superfund.
Strong knowledge of financial planning systems, with experience in Xplan, IPS (Iress Portfolio System) and various super and investment platforms.
Advanced proficiency in Xplan with demonstrated ability to navigate complex system functions effectively.
Advanced proficiency in IPS (Iress Portfolio System) with comprehensive knowledge of system capabilities.
Demonstrated ability to navigate complex client and operational scenarios, applying critical thinking and problem-solving skills.
Exceptional attention to detail with a proven record of maintaining data integrity and compliance standards.
Strong analytical and reporting skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint).
Excellent communication skills, both written and verbal, with the ability to manage client relationships professionally.
A proactive, accountable, and team-oriented mindset, thriving under pressure in a fast-paced environment.
Australian citizenship or permanent residency status with full working rights in Australia.
Relevant financial services qualifications or certifications advantageous for this position.
